When you make an appointment via our booking platform (Ovatu), we collect the information you give us as part of that process, i.e. your name, phone number, email address, date of birth, relevant health information you supply as part of the pre-appointment consultation, and any other details you provide in the comment boxes of the booking and consultation forms. WHY WE COLLECT THIS INFORMATION
We collect such personal and non-personal information for the following purposes:
- To provide and operate our services, including the booking and provision of salon appointments, processing of payments and sending of service-related notices (e.g. booking confirmations, reminders and aftercare emails);
- To provide site users with customer assistance;
- To create aggregated statistical data which we or our platform hosts may use to provide and improve our respective services;

HOW WE STORE, USE, SHARE AND DISCLOSE YOUR PERSONAL INFORMATION
Personal information
We need your name and contact details to register you as a client and for us to send you a booking confirmation, as well as reminders of your appointments. We also use these details to send you essential paperwork related to your chosen treatments, i.e. a pre-appointment consultation form and aftercare advice.
The pre-appointment consultation form requests your age and certain health information. This is needed to ensure that it is safe for us to provide the treatments you have booked.
We record information about all treatments carried out so that we can provide you with an efficient service, monitor customer trends and to fulfil the requirements of our insurers.
We use Ovatu for our booking system. Your details are encrypted and stored on their secure servers behind a firewall. The platform is password protected, which ensures only the therapist providing your treatment has access to your digital file. You can learn more about Ovatu and their privacy policy at www.ovatu.com/privacy
To comply with the terms of our insurance provider, the above information is stored by us for 7 years after the date of your treatment.
Payment information
We use Stripe and Worldpay for our payment processing services.
When registering online as a new client, we request your credit or debit card details to help us prevent fraudulent bookings and to administer our cancellation policy. This information is encrypted and held securely by Stripe for as long as you are a registered customer. You can read more about Stripe and their privacy policy at www.stripe.com/privacy
When paying for your treatment by credit or debit card in person (i.e. at the time of your appointment), your payment is processed by Worldpay. We keep paper receipts for accounting purposes, which are stored securely and cross-shredded after the relevant accounting period. Learn more about Worldpay and their privacy policy at www.worldpay.com/uk/privacy-policy
Disclosure of your information
We will never share or disclose your personal information outside of the above parameters unless required to do so by law.
HOW WE COMMUNICATE WITH YOU
We may contact you regarding your booking or enquiry, e.g. to send confirmation and reminder notifications; to provide aftercare advice; to request feedback on your appointment; to collect fees or monies owed; to respond to queries submitted by you; or as otherwise necessary to enforce our Terms and Conditions, applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone and text message, using the contact information supplied by you. These service-related communications are considered essential to the provision of our services and cannot be disabled by you, unless you withdraw your consent to us processing your data (see below).
We would also love to send you occasional news, special offers and exclusive discounts by email. By default, these marketing messages are disabled and can only be turned on by you. You can change your marketing preferences at any time through your online customer account, or by contacting us using the details at the bottom of this policy. You can also unsubscribe from marketing emails by using the ‘unsubscribe’ button included with every message.
HOW WE USE COOKIES AND OTHER TRACKING TOOLS
